When you quit any job, it’s a good idea to write a formal resignation letter. This creates an official record and sets you up for a smooth transition to your next opportunity.

In retail, where short tenures are common and word-of-mouth is everything, it’s especially important to put your decision in writing. Doing so will ensure that there are no misunderstandings about the details—and that you’ll receive a good reference from your manager in the future.

Keep the following tips in mind when you’re writing a resignation letter for a retail position:

Follow Business Letter Format

A resignation letter is professional correspondence and should be written in standard business letter format. If it’s been a while since you’ve needed to write formally at work, it’s a good idea to review resignation letter templates before you compose your own message.

Include the Important Details

Give at least two weeks’ notice when possible and be sure to include your last day in your message. If you previously discussed your resignation with your manager, then include the date of that discussion as well. Some people choose to give a reason, such as a new opportunity, the need to relocate, or the birth of a child, but that is not required. Also, be sure to sign and date the document.

Keep It Positive

When you leave a position, whether in the corporate world or in retail, it's important to leave on good terms. Even if you hate your job, keep your letter professional and straightforward. You’ve probably seen viral videos featuring employees who quit dramatically. It’s fun to live vicariously through those folks, but it’s less fun to deal with the fallout of those escapades in real life.

Remember that most industries are small worlds and most professional networks are quite tight-knit. The boss you attack today could be the cousin of tomorrow's next potential employer, and that will hurt your chances of getting hired.

Be Concise

There is no need to write a long letter. Two or three paragraphs will suffice in most cases. Remember that your primary goal is to make sure that your manager knows when you’re leaving and to facilitate a smooth transition.

Say Thank You

Every job has something to teach us, even if it’s what we don’t want in our next position. If possible, express gratitude for the opportunity. In any case, be as gracious as you can be.

Offer Assistance

If you are willing to train your replacement, go ahead and include that in your letter. Resignation letters are typically kept on file. Offering to help through the transition period will remind your manager and human resources that you possess a professional demeanor. This will prove to be helpful when you ask for a reference.
