It’s important to thank colleagues who help you out at work. They need to hear that their efforts are appreciated, and that you are willing to reciprocate when you can. Sending a formal thank-you note when someone helps you at work is not only polite – it also serves to strengthen your relationship, heighten camaraderie, and build morale in the workplace.

When writing a thank-you letter to a coworker, it’s fine to keep the tone casual, as long as your format is correct. You can send a thoughtful handwritten note, if you feel that it would be well received, or an email.

What to Include in Your Thank-You Letter

Use a professional salutation and closing. In your note, specify exactly what it was you appreciated and how the person’s input was beneficial to you or to a project you worked on together.

You should also offer to help them in the future if you can. Use first names if you do so in person, and always make sure you proofread for spelling and grammar.

To add even more value to your thank-you email or letter, it’s a nice idea to send a carbon copy (“CC”) to your helper’s supervisor; for an email message, simply insert the supervisor’s address in the CC field. This helps to raise awareness of how important an asset your colleague is to the organization as a whole.

How to Write a Thank-You Letter

1. Gratitude Is Free. Be Generous With Your Thanks.

Thank-you notes aren’t just for job interviews. Send thank-you notes for job leads, networking introductions, letters of recommendation, or help with projects at work. Everyone likes to be appreciated, so if someone gives you a hand, take a moment to share your thanks.

2. Be Professional.

Use standard business-letter format and make sure your note is clear, concise, and easy to read. This is especially important if you opt for a handwritten note. Take the time to be sure your handwriting is legible (or skip the pen and send a typewritten or emailed note). Remember that it’s fine to use first names in your salutation if you work with the person every day.

3. Use a Template (But Customize Your Letter)

These templates can help you craft thank-you letters for a variety of business and employment related scenarios, including thank you letters for employees, employers, colleagues, clients, and networking contacts. Remember to customize your letter for your specific situation.

4. Proofread and Edit Your Letter Before Sending

Pay close attention to the spellings of names, job titles, and company names before you finalize your letter and send it. Proofread to ensure that your note is free of typos, formatting issues, and other problems.
